Role: To provide high quality executive personal assistance and administrative support to Tiny Turtle Baby Food Director Lauren Bass in all operational and strategic activities.
Key Responsibilities
1. Organising and maintaining diaries and making appointments
2. Screening phone calls, enquiries and requests, and handling them when appropriate
3. Devising and maintaining office systems, including data management and filing
4. Filter and manage incoming correspondence (emails, faxes and post) highlighting urgent correspondence and print attachments
5. Organise and maintain correspondence, record and follow up on pending matters
6. Prepare and distribute correspondence on behalf of the Director
7. Format, edit and proof-read various documents and presentations and draft routine letters or reports
8. Maintain rapport and liaise with other staff across the business
9. To ensure all aspects of meetings/conferences are organised, agendas developed and prompt action taken maintaining timely responses to deadlines at all times
10. To attend and minute meetings as required
11. Prepare documents, amend and format them including client documentation, emails and power point presentations as and when required
12. To take and transcribe dictation of letters and other documents
13. Assist in researching and assembling information for the preparation of reports, as well as preparing reports
14. Assist with administrative tasks associated with meetings as required
15. Maintain appropriate levels of office supplies, stationary, office equipment which may include printers, photocopiers and monitor maintenance issues
16. General administrative tasks such as filing, copying and scanning
Skills and Experience
1. Diploma or Advance Diploma with 3 years mandatory work experience in similar position
2. 3 years of experience in the absence of formal qualification
3. High level of planning and organisation skills
4. Excellent administration skills, typing and software skills
5. Ability to maintain strict levels of confidentiality and a high level of professionalism
6. Strong command on interpersonal and oral communication
7. Good organisational and time management skills
8. Ability to effectively supervise other staff if necessary
